DAYS & HOURS:  225 days per year; 8 hours per day.

Position Title:   Secondary School Office Supervisor

Work Days:       225 days per year

Reports to:       Site Administrator - Principal

FLSA Status:     Exempt

 

Job Summary:

  • Performs all duties of a Secretary, although assigned tasks will be more complex, requiring greater knowledge and a higher degree of independent judgment.

  • In the absence of the Principal or Assistant, may act with authority in a given area of operation with parents and staff.

  • Maintain student body financial records and multi-level funds for athletics, clubs, and activities.

  • Able to access, input, retrieve information from a computer and key 50 wpm.

  • Maintain confidentiality.

  • Perform complex word processing, spreadsheet and data entry tasks.  Able to use the assigned elements of the district's computer network system.

  • Perform bookkeeping functions using fund accounting concepts to manage multiple fund balances.

  • Assist Principal with budget preparation and management.

  • Oversee the setup and use of a point of sale software/hardware system and ensure cash receipts are accurate and deposits are handled appropriately.

  • Maintain petty cash accounts and reconcile after events.

  • Process certified and classified timesheets.

  • Request certified and classified substitutes.

  • Fulfill other related duties as assigned.

  • Fulfill performance standards identified in the evaluation process as required by the position.

  • Fulfill working conditions and physical effort listed below.

  • Help to build a new master schedule or make changes to a current one when it is needed.

  • Daily announcements both in-house and online.

  • Reader board updates as needed.

  • Setup and use the calling system to keep in contact with parents and students of important information or events going on.

  • Scheduling

  • Advance Diploma enrollment and billing.

  • Monitor fundraising activities for appropriateness.

  • Graduation preparation, collecting fees, reports cards, diplomas

  • Documenting attendance and necessary reports.

  • Transcripts preparation.

  • Student supervision.

  • Coordinate and oversee the registration process, managing multiple volunteers.

  • School Program technician - Help CCMS staff and CCSD staff with Schoolmaster problems or pulling information out of the system. 

  • Class scheduling and balancing for ALL students in the building.

  • Balancing of all special education students, high math students, low writing students, and males & females in a teacher’s roster.

  • Deals with parents and students pertaining to schedules and changes.

  • Makes all schedule changes throughout the school year, manages related fees.

Supervision:

  • Of other secretaries in the building, setting schedules and completing performance evaluations.

  • Subs in the building (both certified and classified), scheduling and recording time.

  • Of students in lunch, hallways, classrooms and afterschool during sporting events.

     

    Minimum Qualifications:

  • High school diploma or the equivalent.

  • Able to relate well to students, staff and public.

  • Read, understand and carry out oral and/or written instructions.

  • Able to work effectively with minimum supervision, learn assigned tasks readily and follow established routines and procedures.

  • Adhere to the federal requirements of a drug-free work place.

  • Accurately transfer, record and convey information, materials and money, as required by the position.

  • Able to perform satisfactorily on the district's basic skills test.

  • Knowledge of the district's purchase order system.

  • Two years secretarial experience or equivalent training.

  • Possess or be able to obtain First Aid and CPR certification.

  • Computer technology and other equipment used in the work place, as required by the position.

     

    Working Conditions and Physical Requirements:

  • Length of Year:  Days As Assigned.  Length of Day:  Hours as assigned by Supervisor.

  • Possess the physical ability to regularly attend work and fulfill the essential functions of the position, with or without reasonable accommodation.

  • Responsibilities require the employee be able to sit for long periods of time.

  • Working closely with students can be physically and emotionally demanding.
